TERMS AND CONDITIONS
MOVEMENT THERAPIES LTD Rehabilitation Through Movement.
Terms & Conditions | Effective Date: 01.11.2026
PART 1 — BUSINESS TERMS & CONDITIONS
1. General Information
These Terms & Conditions outline the arrangements for accessing physiotherapy, rehabilitation and associated services provided by Movement Therapies.
By booking an appointment or purchasing services from Movement Therapies, clients agree to the applicable terms communicated at the time of booking or purchase.
We encourage all clients to read these terms carefully before commencing treatment.
Movement Therapies is committed to providing professional, safe and personalised care in a welcoming and supportive environment.
2. Client Responsibilities & Medical Information
Clients are responsible for providing accurate and complete information regarding their current health, medical history, previous injuries, relevant medical conditions, medication and any other factors that may influence their assessment or treatment.
It is important that clients inform their treating clinician of any changes to their health or medical circumstances throughout their care.
Failure to disclose relevant information may affect the safety, suitability or effectiveness of treatment.
Movement Therapies cannot accept responsibility for adverse outcomes directly resulting from information that has been withheld or inaccurately provided, except where liability cannot lawfully be excluded.
3. Consent to Assessment & Treatment
Movement Therapies is committed to ensuring that clients are fully informed and actively involved in decisions regarding their care.
Clients will be asked to complete a separate consent form before commencing assessment or treatment.
The treating clinician will explain the nature of any proposed assessment or treatment, including relevant benefits, potential risks and available alternatives where appropriate.
Clients have the right to ask questions, decline treatment or withdraw consent at any stage.
Completing a consent form does not remove the requirement for ongoing informed consent throughout the course of treatment.
4. Communication With Healthcare Professionals
Where clinically appropriate, your treating clinician may recommend communicating with your GP or another healthcare professional to support continuity of care.
Information will ordinarily only be shared with your knowledge and agreement, unless there is another appropriate legal basis or obligation to disclose information.
All information will be handled in accordance with professional confidentiality requirements and applicable data protection legislation.
5. Appointments & Punctuality
Appointment durations include time for clinical assessment, treatment, discussion of treatment plans, clinical documentation and any necessary administrative tasks.
Clients are requested to arrive promptly for their scheduled appointments.
Where a client arrives late, their appointment may need to be shortened to avoid affecting subsequent bookings. The full appointment fee may still apply.
Where a client arrives too late for assessment or treatment to be provided safely or effectively, the appointment may be treated as a missed appointment, subject to our Cancellation & Non-Attendance Policy.
6. Fees & Payment
By booking and receiving services from Movement Therapies Ltd, clients agree to pay the applicable fees for appointments, treatment sessions and purchased packages.
All fees will be communicated at the time of booking or purchase.
Payment is required in accordance with the arrangements agreed when booking or purchasing services.
Treatment packages must be paid for in full at the time of purchase unless an alternative payment arrangement has been agreed.
Any outstanding balances must be settled promptly. Movement Therapies reserves the right to request payment of outstanding fees before accepting further appointments.
7. Cancellation & Non-Attendance Policy
Movement Therapies understands that circumstances can change and appointments may occasionally need to be cancelled or rearranged.
However, late cancellations and missed appointments reduce the availability of appointments for other clients and can result in financial losses to the clinic.
To help us manage appointments fairly and effectively, the following policy applies.
7.1 Cancellations With At Least 24 Hours' Notice
Appointments cancelled or rearranged at least 24 hours before the scheduled appointment time will not incur a cancellation charge.
Where an appointment has been prepaid, the payment may be transferred to a rearranged appointment or refunded where applicable.
Repeated Cancellations:
Where a client repeatedly cancels or rearranges appointments (three or more times within a three-month period), Movement Therapies Ltd reserves the right to review future booking arrangements, including limiting advance bookings or requiring prepayment. If it is a package booking, the client may lose a session as a result of repeated cancellations.
Any exceptional circumstances will be considered at the discretion of the treating therapist.
7.2 Cancellations With Less Than 24 Hours' Notice
Where an appointment is cancelled or rearranged less than 24 hours before the scheduled appointment time:
● Pay-As-You-Go (PAYG) appointments: A cancellation charge equivalent to 100% of the scheduled appointment fee may apply.
● Treatment packages/block bookings: One session may be deducted from the client's remaining package balance.
Any cancellation charge will be applied fairly and proportionately, taking into account the circumstances and any loss reasonably incurred by the clinic.
7.3 Failure to Attend
Where a client fails to attend a scheduled appointment without providing notice, the same charges or session deductions outlined above may apply.
7.4 Exceptional Circumstances & Therapist Discretion
Movement Therapies recognises that unforeseen circumstances may occasionally prevent clients from attending appointments.
In exceptional circumstances, including sudden illness, emergencies or other unavoidable events, the treating therapist may, at their discretion, waive or reduce a cancellation fee or reinstate a deducted package session.
Each situation will be considered individually, taking into account the circumstances, the notice provided and whether the appointment could reasonably be offered to another client.
The purpose of this policy is to protect appointment availability and reflect reasonable losses associated with late cancellations, rather than impose a penalty.
8. Treatment Packages & Block Bookings
Movement Therapies offers treatment packages that allow clients to purchase multiple sessions in advance, at a discounted rate.
The following terms apply to all treatment packages unless otherwise agreed in writing.
8.1 Payment
All treatment packages must be paid for in full at the time of purchase unless an alternative payment arrangement has been agreed.
8.2 Package Validity
All treatment packages are valid for 9 months from the original date of purchase.
Clients are responsible for arranging and attending their appointments within this period, subject to appointment availability.
Any unused sessions remaining after the 9-month period will expire unless an extension has been agreed by the treating therapist.
8.3 Extensions
Movement Therapies recognises that circumstances may occasionally prevent clients from completing their sessions within the specified period.
Extensions may be considered at the discretion of the treating therapist, particularly where illness, injury, medical circumstances or other exceptional events have reasonably prevented attendance.
Any agreed extension should be confirmed in writing.
8.4 Package Use & Transfers
Treatment packages are intended for use by the individual named at the time of purchase.
Sessions cannot be transferred to another individual without prior agreement from Movement Therapies Ltd.
8.5 Missed Appointments
All appointments booked as part of a treatment package remain subject to the Cancellation & Non-Attendance Policy outlined in Section 7.
Where a late cancellation or missed appointment results in a session deduction, the remaining package balance will be adjusted accordingly.
8.6 Clinical Suitability
Treatment plans may be reviewed and adapted throughout a client's care according to their clinical needs and progress.
Where a package is no longer clinically appropriate, the treating therapist will discuss suitable alternatives, including any appropriate refund arrangements.
9. Refunds & Package Cancellations
Movement Therapies Ltd aims to maintain fair and transparent arrangements for all payments, bookings and treatment packages.
9.1 Pay-As-You-Go Appointments
Where a prepaid appointment is cancelled with at least 24 hours' notice, clients may request a refund or rearrange their appointment.
Appointments cancelled with less than 24 hours' notice remain subject to our Cancellation & Non-Attendance Policy.
9.2 Partially Used Packages
Where a discretionary refund is approved for a partially used discounted package, sessions already attended may be recalculated at the standard Pay-As-You-Go rate applicable at the time of purchase.
This calculation will only apply where it was clearly communicated before purchase and where the resulting deduction is fair and lawful.
Any remaining eligible balance may then be refunded.
9.3 Medical Circumstances
Where a client is unable to continue treatment due to illness, injury or another medical reason, Movement Therapies may consider an extension, alternative treatment arrangement or appropriate refund.
9.4 Statutory Rights
Nothing within this policy affects a client's statutory consumer rights, including any applicable cancellation rights for services purchased online, by telephone or at a distance.
Any statutory refund or cancellation entitlement will take precedence over the clinic's discretionary refund arrangements.
10. Clinic Cancellations & Rescheduling
In the event that Movement Therapies needs to cancel or rearrange an appointment, clients will be informed as soon as reasonably possible.
An alternative appointment will be offered where available.
Movement Therapies will make reasonable efforts to minimise disruption to clients.
11. Private Medical Insurance
Clients intending to claim treatment costs through a private medical insurance provider must inform Movement Therapies before commencing treatment.
It is the client's responsibility to confirm their policy coverage, eligibility, authorisation requirements and reimbursement arrangements with their insurer.
Unless otherwise agreed in writing, clients remain responsible for payment of their treatment fees regardless of whether reimbursement is approved by their insurance provider.
Movement Therapies cannot guarantee that treatment costs will be reimbursed by an insurance provider.
12. Privacy, Confidentiality & Data Protection
Movement Therapies is committed to protecting the privacy and confidentiality of all clients.
Personal information and clinical records are collected, processed and stored securely in accordance with applicable UK data protection legislation.
Information may be used for purposes directly related to the provision of healthcare, appointment administration, communication and other legitimate business or legal requirements.
Further details regarding how personal information is collected, used, stored and protected, including your data protection rights, can be found in our separate Privacy Policy.
13. Appointment Communications & Marketing
By providing contact information when booking or registering with Movement Therapies Ltd, clients acknowledge that the clinic may contact them regarding appointments, booking confirmations, reminders, treatment-related information and necessary administrative matters.
Promotional communications, including special offers, clinic updates and marketing materials, will only be sent where permitted by applicable marketing and data protection laws.
Clients may opt out of marketing communications at any time without affecting their access to treatment.
14. Gift Vouchers
Where gift vouchers are offered by Movement Therapies, the following conditions apply:
● Vouchers are valid for the period specified at the time of purchase.
● Vouchers may only be redeemed against eligible services provided by Movement Therapies Ltd.
● Vouchers cannot be exchanged for cash.
● Lost or expired vouchers may not be replaced or extended, except at the discretion of Movement Therapies Ltd or where required by law.
● Refunds and cancellation rights remain subject to applicable consumer legislation.
15. Changes to Business Terms & Conditions
Movement Therapies may periodically review and update these Business Terms & Conditions.
The terms applicable to a booking or package purchase will be those provided or agreed at the relevant time, unless subsequent changes are expressly agreed or required by law.
Any updates will be made available through our website or communicated directly where appropriate.
